When you need this form

Any site that stores, decants or uses chemicals needs a register of what is there and a current Safety Data Sheet for each product. Cleaning stores, aquatic centre plant rooms, hospital environmental services, kitchens and airport amenities all qualify. Clients ask for the register during onboarding and again at audit, and it is one of the first documents requested when a chemical incident happens.

SDS go out of date, and a folder in the store room is usually the last thing anyone updates. A live register holds the product, supplier, location, hazard class and the issue date of each sheet, so expiry is visible instead of discovered. It also travels: the same register can be produced for any site, on the spot.

What good looks like

• Every product listed by trade name and supplier, matching the label.
• SDS issue date recorded, so ageing sheets are spotted before an audit.
• Storage location and quantity held on site, area by area.
• Hazard class and required PPE noted against each product.
• Spill kit, bunding and placarding photographed, with authorised sign-off.
