When you need this form

Mobile patrols, static tours and after-hours lock-ups all need the same thing: a record of where the guard went, when, and what they found. New clients ask for it in the first month, usually because a previous provider could not prove attendance. Licensing expectations and client contracts both assume patrols are logged, and an unlogged patrol is functionally an unperformed one when a break-in gets reviewed.

Handwritten patrol books are easy to backfill and impossible to verify. GPS-stamped entries with photos of each checkpoint prove the guard was physically there at that hour. When a client disputes an invoice or an insurer questions response time, that timeline settles it in minutes. It also lifts you above competitors still emailing a scanned sheet the next day.

What good looks like

• Guard name, licence details and shift start and finish times.
• Each checkpoint logged with its own time stamp and GPS pin.
• Observations written plainly: doors secured, lights out, gates chained, nothing unusual.
• Exceptions escalated with who was called and when they answered.
• Photos of anything abnormal: damage, open doors, vehicles, people on site.
