When you need this form

Before you buy, sell or take over management of a building, someone has to walk it and record what is actually there. Structure, services, fire and essential safety systems, compliance documents, outstanding defects. Undocumented gaps transfer with the asset and become the new owner's liability, so boards, lenders and insurers expect a dated technical review rather than a verbal summary.

A live checklist beats a Word report because the evidence sits inside it. Each finding carries its photo, its location and the inspector who recorded it, timestamped on site. When a defect surfaces two years later, you can show exactly what was seen, what was flagged and what the vendor disclosed at the time.

What good looks like

• Every building system inspected and rated, with condition, age and remaining life.
• Photos against each defect, showing location, extent and safety implications.
• Compliance documents sighted and referenced: essential services, registers, current certificates.
• Capital cost estimates attached to the risk items driving the deal.
• Assessor and approver both signed, with the inspection date fixed.
