Routine facility inspection

When you need this form

Facility managers walk buildings constantly, but a walk without a record is not a service. This inspection covers the recurring pass: common areas, amenities, plant rooms, car parks, lighting, cleaning standards and anything unsafe. On a first FM contract the client expects records from day one, and on an established one it is the evidence that the monthly fee bought attention.

Emailed summaries disappear into inboxes. A filled form leaves a dated, photo-backed record per building that can be handed to the owner, attached to a work order or produced at a contract review. When a hazard turns into an incident, the question is always whether it was seen and actioned, and the record answers it.

What good looks like

• Every area on the route checked and marked, including the ones passed.
• Hazards logged with location, photo and an immediate control if applied.
• Cleaning and presentation standards rated against the agreed scope.
• Plant room and services observations noted, including alarms and leaks.
• Work orders raised from defects, referenced back to the inspection record.
